Provides administrative and secretarial support for funding and legal files, drafts final legal documents, conducts research (credit reports, registries) and maintains file tracking and reporting.
Supports the regional director and team coordination, including scheduling, event organization and updating management tools.
Responsibilities
Perform administrative-level tasks related to managing and tracking funding requests and other duties necessary for the proper operation of the office.
Collect, compile and enter various information required to prepare documents for files handled by professionals.
Verify that all required documents have been provided, ensure data accuracy, send acknowledgement letters for received requests to the appropriate parties, and, when necessary, obtain missing information and documents by conducting the required research.
Responsible for requesting information such as Equifax credit reports, civil and criminal dockets, land registry records and RDPRM entries, etc.
Follow up on files by: communicating with companies to obtain documents necessary for appropriate file monitoring; updating computerized files with minor corrections based on reported changes or contacting the relevant parties.
Responsible for drafting final legal documents (offer letters, surety agreements, amendment letters, etc.).
Responsible for preparing documents required to secure collateral.
Responsible for accurately entering bank balances prior to invoicing guarantee fees.
Complete, as needed, various forms, analysis reports, tables, memos or other types of correspondence.
Handle correspondence and coordinate the receipt and distribution of all documents for signature (when applicable).
Maintain various registers and filing systems, and manage scanning or archiving.
May be asked to manage the regional director’s calendar as required: schedule meetings, assess the importance and priority of received requests, alert the director to urgent matters, and resolve issues brought to their attention.
Perform secretarial and administrative activities such as executing queries or computer research in SYGIC.
Arrange travel by making required reservations.
Support the team in organizing events, invitations, bookings and attendance confirmations for meetings or other activities.
Responsible for updating visual management tools by extracting data and ensuring specific information is communicated to the team.
Responsible for generating and submitting weekly and monthly reports (monitoring and operational control).
Requirements
Hold a Secondary School Diploma (DES) plus a training program of at least 1 year, or the equivalent of a DEC in Office Technology, Legal and/or Notarial Technology and/or Financing.
Have three (3) years of experience in secretarial work, including one (1) year in financing, notarial law secretarial work or corporate law secretarial work.
Excellent command of spoken and written French.
Functional knowledge of English.
Excellent command of the Microsoft Office suite (Word, Excel, Outlook, PowerPoint).
