About the role

  • Contract Specialist managing low-risk contracts, vendor onboarding, and YPO’s CLM system. Supporting procurement operations remotely across the United States and Canada.

Responsibilities

  • Manage low-risk, low-dollar contracts through the entire contract lifecycle following YPO standards and service requirements
  • Administer and maintain the Contract Lifecycle Management software system
  • Assist the contract team with writing summaries, information gathering, and obtaining W-8 and W-9 forms from potential vendors
  • Ensure all YPO logo agreements are approved by the marketing team
  • Maintain contract file storage in accordance with policies and procedures
  • Contribute to internal training and education on contract lifecycle and contracting processes
  • Manage CLM support tickets, troubleshoot user issues, and escalate when appropriate
  • Support CLM system training and provide ongoing guidance to business users
  • Support continuous improvement, testing, enhancement, and documentation of CLM workflows and processes
  • Provide administrative support to the department as needed
  • Provide backup support for the Procurement Specialist when necessary
  • Complete ad hoc reports, tasks, and projects as required

Requirements

  • 3+ years’ experience in contract administration, procurement or business operations
  • Working knowledge of contract principles, terms, and the contract lifecycle
  • Exceptional organizational skills and attention to detail, with the ability to manage a high volume of contracts and deadlines
  • Strong administrative skills
  • Excellent customer and stakeholder service skills, supporting both internal business users and external vendors
  • Excellent written and verbal communication skills
  • Proficient in Microsoft Office Suite or similar software
  • Experience with a contract lifecycle management (CLM) system, including system administration or user support, highly preferred
  • Bachelor’s degree or related equivalent work experience
  • Ability to work flexible and/or extended hours as needed to accommodate team members and stakeholders in multiple time zones
  • Willingness and ability to travel, domestically and internationally, without restrictions, 0–5% per year
  • Prolonged periods sitting at a desk and working on a computer
  • Ability to maintain discretion and integrity of confidential information
  • Ability to prioritize competing opportunities, balance member and internal stakeholder needs with business priorities, manage cross-functional expectations, and clearly articulate decision rationale
  • Ability to communicate effectively and develop positive relationships across boundaries
  • Ability to work within ambiguity and a frequently changing environment
