About the role

  • Production Coordinator managing previs project schedules, artists, vendors, and client deliveries. Supporting award-winning visualization studio The Third Floor across film, episodic, and games projects.

Responsibilities

  • Liaise between vendors, crew, and internal teams to improve cross-vertical information flow
  • Organize dailies, Cinesync and Zoom sessions, rounds, and meetings; take notes and follow up on information
  • Keep Shotgrid current with notes, shot status, and critical information
  • Work with the Line Producer and Supervisors to track and manage artists and deadlines
  • Support the Line Producer with the schedule
  • Maintain crew actuals and review management with the Production Manager
  • Support accurate approval of timecards
  • Manage crew actuals and bid man days within the schedule document
  • Anticipate and communicate issues to the Line Producer and Supervisor
  • Communicate information quickly and succinctly to crew and departments
  • Keep internal and client contact lists up to date
  • Oversee execution of client deliveries
  • Compile weekly project reports with Supervisor and Line Producer input
  • Arrange wrap meetings and client gift lists
  • Encourage and maintain a positive, upbeat, and professional production office
  • Welcome new artists and provide proactive, solution-oriented support
  • Assist Production with additional ad hoc duties

Requirements

  • Knowledge of digital audio and video file formats
  • Highly organized, efficient, and detail oriented
  • Comfortable with a fast pace and constant change
  • Ability to respond after hours for important, timely, or urgent matters
  • Team-player who operates in a fast-paced, team-oriented setting
  • Passionate about the company culture and workplace values
  • Strong knowledge of Google Sheets
  • Strong knowledge of Microsoft Office packages, including Excel and Word
  • Strong knowledge of Filemaker Pro
  • Existing knowledge of production databases, including Filemaker Pro and Shotgrid is desirable
  • Specific knowledge of animation or VFX processes/pipelines is a plus
  • Good knowledge of Maya and Photoshop is a plus
  • Basic Avid/editorial knowledge
  • Must live in California, Georgia, Texas, Oregon, Connecticut, Florida, New Jersey, New York outside NYC, Colorado, Washington, or Canada for remote positions
