Executive Assistant supporting Waga Energy's CEO and leadership team in strategic and operational tasks. Contributing to smooth operations and liaison across departments in a sustainable energy company.
Responsibilities
Manage the CEO’s calendar, priorities and deadlines
Also support other directors in coordinating cross-functional needs (finance, industrial, operations and sales)
Organize meetings, travel and business events
Prepare meetings and committees (coordination, presentations, formatting and proofreading of documents)
Manage incoming communications and requests
Ensure smooth coordination with internal teams, subsidiaries and external partners
Act as a liaison between departments and facilitate information flow
Track files, deadlines and deliverables
Organize and structure information in a clear and accessible manner
Participate in cross-functional projects and in improving internal tools and processes
Provide administrative support to teams as needed
Manage executive expense accounts
Handle administrative and corporate document management
Organize logistics for events and meetings
Draft, review and structure various documents (presentations, policies, RFQs, RFPs, etc.)
Write meeting minutes, follow up on action items and ensure deadlines are met
Contribute to report preparation (collection, consolidation and formatting)
Coordinate certain billing-related information and administrative follow-ups
Provide administrative support in monitoring contractual and regulatory files
Update tracking tools and dashboards
Liaise with partners to follow up on data, reports and billing-related administrative items
Requirements
University degree (certificate or bachelor’s) in administration, management, communications or a relevant field (an asset) OR
Diploma of College Studies (DEC) in administrative techniques, office automation, business management or a related field
Minimum 5 to 7 years’ experience in executive assistance, office management or executive coordination, ideally with experience supporting an executive committee, a CEO or multiple senior leaders
Strong proficiency in English is essential
