About the role

  • Administrative Assistant providing support to Executive Director and branch staff. Manages calendars, documents, meetings, and office operations in an on-site government setting.

Responsibilities

  • The Administrative Assistant is responsible for providing comprehensive administrative and clerical support to the Executive Director, Branch Administrator, managers, and staff. This role ensures smooth daily operations by managing office needs, coordinating communications, maintaining organized records, and supporting a wide range of branch activities. The Administrative Assistant is a key point of contact for internal and external stakeholders and contributes to an efficient, well‑functioning workplace. Duties include: Administrative & Clerical Support: Perform administrative tasks, proofread and format Word documents, create correspondence, answer emails, copy/scan/file records, track documents using Excel, order office supplies. Support to Executive Director & Branch Administrator: Assist with daily needs, manage Executive Director's calendar, schedule meetings, collect/distribute mail, support document preparation. Meetings, Events & Coordination: Organize branch events, coordinate meeting rooms, take meeting minutes, track action items.

Requirements

  • Must Have: Education: High School Diploma/GED. Soft Skills: Clear verbal and written communication, ability to interact professionally with diverse groups, maintain accuracy at fast pace, maintain confidentiality. Travel/Flexible Schedule: Candidate must be present in Edmonton. Work Experience: 1 year experience using Microsoft Office Suite, 1 year relevant experience in similar role, 1 year supporting Executive Director with calendar management, email management, and meetings. Nice to have: Education: Relevant post-secondary education in office administration. Work Experience: Experience working within a government environment. Additional: Authorized to work in Canada, working in an onsite setting.
