About the role

  • Key Account Service Specialist coordinating service portals, work orders, invoicing, and client communication for ASSA ABLOY’s access-solutions business in Mississauga. Maintaining compliance records, dispatch support, ETA reporting, and customer account reconciliations.

Responsibilities

  • Manage customer service workflows and monitor work orders from acceptance through invoicing
  • Support clients via email, phone, and monthly meetings as the Voice of the Customer
  • Maintain and update customer service portals, including accurate data entry and timely processing of work orders and quotes
  • Act as gatekeeper for KAC portals and update district teams
  • Handle quoted-amount escalations and discrepancies with estimators and service teams
  • Track and report portal activities for planning and forecasting
  • Maintain compliance documents, including COI and WSIB, for existing and new client portals
  • Maintain accurate records of service agreements, quotes, and portal transactions
  • Serve as primary client contact for service agreements, work orders, and portal inquiries
  • Collaborate with estimators, customer service, technicians, and dispatch teams
  • Cover call intake during demanding periods
  • Dispatch calls for SUBs when requested, with supervisor assistance
  • Send daily ETA, onsite, and pending-invoice reports to KAC customers and district teams
  • Monitor aging work orders and follow-ups, No Hold, and Not Invoiced items using SO reports
  • Identify and maintain invoice discrepancies
  • Prepare quarterly, monthly, and yearly KAC reconciliation reports

Requirements

  • Experience managing service portals and customer service workflows
  • Accurate data entry and timely processing of work orders and quotes
  • Ability to manage ETA coordination and client communication
  • Ability to handle escalations and quoted-amount discrepancies
  • Knowledge of compliance documents, including COI and WSIB
  • Ability to maintain accurate service agreement, quote, and portal transaction records
  • Ability to collaborate with estimators, customer service, technicians, and dispatch teams
  • Ability to prepare daily, weekly, monthly, quarterly, and yearly reports and reconciliations
