About the role

  • Payroll Administrator responsible for payroll processing and compliance with federal and provincial regulations, supporting HR and Finance departments.

Responsibilities

  • Verify payroll data and transactions in our Dayforce time and payroll system, such as timesheets, work shifts, employment status and compensation changes, retro pay, etc.
  • Maintain payroll supporting records, including new hire and termination letters, leave pay, garnishment letters, as well as requests from HR, Benefits, and other areas.
  • Collaborate with HR and HR Technology to ensure that all payroll-impacting system workflows and configurations are aligned and compliant with payroll best practices.
  • Ensure compliance with tax laws, statutory deductions, and employer taxes (CPP, EI, income tax, WCB, OHT, etc.).
  • Process Records of Employment (ROEs), year-end tax forms (T4s, RL-1s), period-end reports, and ad-hoc reconciliations.
  • Respond to payroll inquiries regarding pay, deductions, and taxation in a way that is appropriate at all levels of the organization.
  • Ensure payroll accuracy, compliance, and traceability with payroll account reconciliations and audits.
  • Identify and resolve payroll discrepancies such as over/under payments, system errors, data entry errors, etc.
  • Develop and maintain payroll SOPs and checklists to support all payroll processes.
  • Keep a mindset of continuous improvement, innovation, automation, and openness to change as the HR/Payroll operations evolve.

Requirements

  • 5 plus years of experience in payroll administration.
  • Strong attention to detail and quality controls, and organizational skills.
  • Strong knowledge of Canadian payroll legislation, multi-province, and employment standards.
  • Proficiency in payroll and business software, including: Dayforce experience is highly desired.
  • Microsoft 365 Suite (Excel, Outlook, Teams, Word)
  • Case management systems.
  • Experience with accounting principles, business administration, or similar technical education.
  • Ability to handle confidential information with discretion.
  • Excellent communication, collaboration, and problem-solving skills in remote environments.
  • PCP (Payroll Compliance Professional) certification from the National Payroll Institute.
  • Familiarity with unionized environments and collective agreements.
  • Bachelor’s degree in accounting, business administration, or similar fields.
  • Service Now case management system.
