Responsibilities

  • To deliver successful, human-centered technology projects by building strong client relationships, aligning project goals with business needs, and guiding cross-functional teams through every stage of the project lifecycle, which drive lasting client success.
  • Schedule and lead regular project check-ins, ensuring transparency on progress, risks and next steps.
  • Facilitate collaborative decision-making ensuring the client’s voice is heard in key project moments.
  • Respond promptly and professionally to client questions, concerns, and feedback.
  • Tailor communication style and frequency to the client’s preferences, ensuring they feel engaged but not overwhelmed.
  • Develop detailed project timelines, including key milestones, dependencies, and resource needs.
  • Regularly review and adjust timelines based on evolving project scope and team capacity.
  • Coordinate input from subject matter experts and delivery team to create accurate time and effort estimates.
  • Share project plans with clients and internal teams to align expectations and secure buy-in.
  • Facilitate structured discovery sessions with client stakeholders to capture detailed functional and technical requirements.
  • Maintain a central project tracker to monitor deliverables, assignments and deadlines.
  • Facilitate regular team standups and working sessions to review progress, surface blockers, and re-prioritize work if needed.
  • Ensure each project phase (requirements, design, build, QA, and deployment) has clear entry/exit criteria.
  • Proactively escalate risk and resource gaps to leadership for resolution.
  • Maintain and update a project risk log, reviewing and revising it at key project checkpoints.
  • Lead regular risk review discussions with project team and client, proposing mitigation strategies for high-impact risks.
  • Track actual vs. planned budget and scope through the project, highlighting deviations early.
  • Document and manage formal change requests, ensuring client and internal approvals are secured.
  • Leverages technical fluency and experiences in delivering technical projects to effectively create plans for issue resolution and risk mitigation and drive the execution.
  • Regularly check in with clients to understand evolving needs and emerging challenges.
  • Proactively identify areas where existing services could be expanded or new services introduced.

Requirements

  • Experience leading technology implementation projects, with demonstrated ability to manage project timelines, scope, budgets, and stakeholder expectations across multiple concurrent projects.
  • Formal project management education or certifications (e.g. Scrum, PMP) are an asset but not required.
  • Consulting experience, especially in client-facing roles, is an asset. You are comfortable working with diverse clients, managing ambiguity and helping clients define problems and solutions collaboratively. You’ve developed strategies to manage the continual intake of requests for your attention, self-organize to prioritize your tasks to meet tight deadlines across multiple projects, and communicate proactively your progress with team members.
  • Solid understanding of system architecture, data models and technology ecosystems, enabling you to act as a bridge between client requirements, design considerations, and system configuration or build processes.
  • Experience in the philanthropy or nonprofit sector is an asset, ideally with exposure to grants management processes, technology implementations, or data-focused initiatives.
  • High proficiency in cloud-based tools such as G Suite, 365, Asana, and Salesforce (or similar platforms). Ability to adapt to new tools and systems is essential.
  • Strong independent problem-solving skills, with the judgement to know when to escalate issues or seek input to deliver efficiently and maintain momentum.
