About the role

  • Patent legal assistant supporting McCarthy Tétrault’s IP lawyers with CIPO, USPTO, and WIPO filings. Managing patent prosecution, deadlines, client files, billing, and searches.

Responsibilities

  • Draft, prepare, format, and revise correspondence and submissions for Intellectual Property Offices in Canada, the US, and elsewhere
  • File patent, industrial design, and copyright applications and submissions with CIPO, the USPTO, WIPO, and other offices
  • Generate cover letters, fax cover sheets, and fee payment forms
  • Manage the lawyer’s patent prosecution practice, delegate tasks, and follow up on status
  • Support the lawyer’s regulatory practice through drug/patent searches, PM(NOC)-related documents, and Health Canada/OPML correspondence
  • Review and maintain Pattsy docket entries and generate docket reports
  • Track official, internal, and client deadlines and work progress
  • Contact CIPO and USPTO to resolve basic file issues and obtain status updates
  • Manage physical and electronic IP files and maintain client-file records
  • Coordinate the lawyer’s daily practice and deadlines
  • Liaise with billing analysts regarding prebills and invoices
  • Manage client billing information and special billing instructions
  • Process expense reports, outgoing fee payments, and incoming client payments
  • Provide backup support to assistants and support team members with competing tasks and deadlines
  • Search for and download patents, trademarks, and designs using domestic and foreign databases
  • Share information with the team and support other legal assistants and legal staff
  • Perform routine tasks, special projects, and other duties as required

Requirements

  • Legal Assistant diploma or equivalent
  • Minimum 5 years of experience as a Patent Legal Assistant in an Intellectual Property group
  • Knowledge of IP laws and ability to self-update regarding changes to IP legislation and practice
  • Extreme attention to detail
