About the role

  • Administrative Assistant supporting PCL Construction’s Edmonton operations. Managing reception, documents, supplies, events, contracts, and purchase orders.

Responsibilities

  • Provide coverage and support for reception and mail
  • Document and update administrative and reception manuals and processes
  • Create and maintain templates, forms, letters, and spreadsheets
  • Organize meetings and events, including catering, locations, and information distribution
  • Order and maintain office supplies, business cards, and other department items
  • Electronically file and archive documents
  • Operate and maintain department-specific software
  • Compose or edit documents using Word, Excel, and PowerPoint
  • Create and maintain contracts and purchase orders
  • Maintain and stock the department kitchen
  • Maintain and update third-party tenant and vendor contact information
  • Manage campus event bookings
  • Perform other duties as required

Requirements

  • High School diploma or equivalent
  • Postsecondary degree, diploma, or certificate in an office administration program considered an asset
  • 1 year of experience in an administrative role or equivalent technical experience
  • Excellent verbal and written communication skills
  • Ability to multitask
  • Ability to handle sensitive and confidential mail in accordance with PCL's code of conduct
  • Ability to effectively handle difficult calls or situations
  • Ability to remain calm under pressure
  • Ability to create, edit, proofread, and format documents
  • Basic skills in Word, Excel, PowerPoint, and Adobe
  • Must be able to walk distances, climb stairs, and stand for periods of time
  • Ability to lift and carry up to 20 pounds consistently
  • Ability to safely climb a ladder to stack and retrieve supplies when required
