Responsibilities
Ensure proposals identify differentiators and engage the three levels of readership
Use graphics to improve and enhance proposal content and emphasize key messages
Evaluate narrative relevance, comprehension, and applicability
Identify and create new narrative requirements with appropriate partners
Proofread, edit, and reword content to deliver high-quality, compliant, error-free proposals within established timelines
Ensure singular voice and messaging continuity throughout proposal documents
Own the proposal planning process, including reviewing client requirements, developing proposal outlines, and creating timelines and assignments
Conduct client background research to identify questions, concerns, and potential risks
Advise on strategic visioning and proposal planning
Collaborate with internal clients and partners to develop proposal strategy aligned with client requirements, district win strategy, and corporate objectives
Coordinate and lead proposal strategy and planning sessions
Schedule and chair proposal kick-off meetings
Track communications and assignments for local and remote partners to ensure timelines are met
Collaborate with the proposal team to prepare presentations and interviews with prospective clients
Participate in outside professional organizations supporting the proposal coordinator position
Requirements
High school diploma or equivalent required
Bachelor's degree in marketing, communications, journalism, or equivalent preferred
Association of Proposal Management Professionals (APMP) practitioner certification, Certified Professional Services Marketer (CPSM) certification or equivalent preferred
7 years’ experience as a proposal coordinator or in a related role (communications, marketing, visual communications)
Excellent project management, organizational, and time management skills to effectively establish priorities and schedule work tasks
Outstanding attention to detail, good judgement, and problem-solving ability
Outstanding verbal, written, and visual communication skills
Ability to develop grammatically sound, customized, technical and written content
In-depth knowledge of proposal fundamentals and standard methodologies
Highly developed interpersonal skills and ability to lead and collaborate with a diverse group sensitively, thoughtfully, and respectfully
Ability to establish, influence, and maintain relationships with decision makers and key partners
Strong business understanding of industry practices and new developments in construction processes, delivery models, and contract types
