About the role

  • Senior Event Planner delivering complex advisor and employee events for Sun Life’s financial-services business. Managing international logistics, vendors, budgets, stakeholders and event technology.

Responsibilities

  • Report to the Manager, Events
  • Lead project management, planning and execution of medium- to high-complexity advisor and employee events
  • Coordinate international events, national kick-offs, roadshows, educational conferences and multi-day meetings
  • Develop program agendas, project plans, key messages and attendee experiences with business partners
  • Coordinate event logistics and interdependent workstreams from planning through execution and wrap-up
  • Manage project planning, creative ideation, attendee communications, registration, travel, gifting, food and beverage, seating plans, rooming lists, transportation, venue management and onsite operations
  • Oversee vendor performance, contracts, procurement, insurance documentation, invoices, budgets and post-event evaluations
  • Research, recommend, source, contract and manage destinations, hotels, venues and suppliers
  • Manage complex project budgets, forecasts, actuals, accruals, savings opportunities, monthly reporting, CE accreditation and taxation reporting
  • Serve as a central point of contact for business partners, project teams, internal teams and external suppliers
  • Lead project team members and resolve demanding situations
  • Collaborate on website development, registration, creative and communications strategies, invitee lists, award winners and attendee communications
  • Ensure compliance with company policies, accessibility, inclusion, privacy, risk, procurement, compliance, brand standards and industry best practices
  • Develop and support contingency plans and escalation protocols
  • Manage event technology platforms, registration, attendee communications, mobile apps or Attendee Hub, reporting, virtual or hybrid tools and post-event analytics
  • Lead post-event debriefs, analyze event data, identify lessons learned and recommend improvements

Requirements

  • A university degree or college diploma in a related field
  • 10 or more years’ experience leading/assisting with multi-faceted, complex events both virtually and in-person
  • 5 or more years’ experience leading international events
  • Bilingualism in English and French is a strong asset
  • Certified Meeting Professional (CMP) designation is an asset
  • Project management experience is an asset
  • Fluency in MS Office Suite of tools (Word, PowerPoint)
  • Advanced technological abilities including Excel skills
  • Knowledge of CVENT and Attendee Hub is an asset
  • Flexibility to work outside regular business hours during peak event periods
  • Up to 20% travel may be required
  • Must reside within 150 km of an international airport
  • Must hold a valid passport
