About the role

  • Conflicts and records specialist supporting Torys’ legal risk, business intake, and records management processes. Conducting conflict searches, KYC reviews, reporting, and file administration.

Responsibilities

  • Perform conflict searches to identify potential legal and business conflicts for new business intake and incoming legal professionals
  • Liaise with Risk Management to resolve conflicts, new business intake and other risk-related issues
  • Support legal professionals and assistants with new business intake
  • Review matter openings for compliance with firm policies and Know Your Client requirements
  • Follow up with legal professionals and assistants as required
  • Process matter closings
  • Update and maintain client and matter information
  • Generate ad-hoc client, matter, related-party and physical-file reports
  • Assist with the audit inquiry process
  • Coordinate file delivery to and retrieval from off-site storage
  • Support records destruction initiatives
  • Provide rotating after-hours support for urgent conflicts searches
  • Participate in department projects and initiatives

Requirements

  • Post-secondary education in a business-related field and/or equivalent experience
  • 3 to 5 years of related experience
  • Professional services environment experience preferred
  • Experience in conflict searching, business intake and/or records and information management is an asset
  • Knowledge of business intake, conflicts, records management and ethical wall software such as CorpIntake, 3E and Intapp Walls is an asset
  • Exceptional client service skills
  • Strong analytical abilities, problem-solving skills and attention to detail
  • Strong time management skills and ability to prioritize and meet deadlines with minimal supervision
  • Excellent verbal and written communication skills
  • Strong interpersonal skills and ability to work independently and collaboratively
  • Sound judgment and ability to handle confidential information discreetly
  • Successful completion of background checks, including criminal record, social media, employment and educational background checks
