About the role

  • Seeking an organized Construction Administrative Assistant for a 12-month contract in Ottawa Southeast. Duties include clerical, AR, purchasing, and admin support.

Responsibilities

  • Provide administrative support to the office manager, project manager, general contractor, and other construction management staff. Answer incoming phone calls and respond to emails professionally. Act as a point of contact for vendors, subcontractors, and construction services teams; solicit quotes for new jobs. Prepare forms such as change orders, purchase orders, service agreements, and subcontracts. Execute clerical and general office duties including filing, data entry, typing, copying, ordering office supplies, and other administrative tasks. Coordinate meeting logistics and travel arrangements. Handle Accounts Receivable and Purchasing duties.

Requirements

  • High school diploma required; additional college (associate or bachelor's) valuable. 3+ years of administrative experience required. 6+ months of administrative experience in a busy construction office required. Familiarity with the construction industry required. Excellent time management, organization, and communication skills. Proficient in MS Office (Word, Excel, PowerPoint). French is an asset. 1+ years of Construction experience. Authorized to work in Canada. Working in an onsite setting.
