About the role

  • Corporate Paralegal leading compliance workflow and filings at Dentons, a global legal services firm. Preparing Canadian corporate records, annual reports, audits, and legal compliance documents in Vancouver.

Responsibilities

  • Provide ongoing guidance, knowledge sharing, and technical support to compliance team members on procedures, best practices, and legislative requirements
  • Serve as the primary resource for compliance-related questions and procedural guidance
  • Monitor and triage compliance-related requests and act as the primary contact for lawyers and clients on day-to-day compliance matters
  • Coordinate compliance workflow, prioritize monthly deadlines, and distribute workload
  • Prepare monthly compliance status reports for the Supervisor, highlighting volumes, outstanding matters, and potential risks
  • Maintain compliance control lists and allocate work assignments
  • Identify and escalate complex, sensitive, or high-risk compliance matters
  • Facilitate regular compliance team meetings to review workflow, deadlines, priorities, and resource needs
  • Conduct monthly compliance database audits and ensure key compliance dates and records are accurate and current
  • Meet with the Supervisor to provide workflow updates and identify process, data quality, and operational efficiency improvements
  • Prepare and file compliance documents, including annual reports and resolutions, for British Columbia and Federal entities
  • Prepare and coordinate extra-provincial annual reports for Canadian jurisdictions, liaising with agents and monitoring deadlines
  • Prepare or revise annual maintenance documents, including changes to officers, directors, principal addresses, registered offices, and records offices
  • Process Transparency Register annual review confirmations
  • Process electronic minute book filings for compliance and other executed documents
  • Process Notices of Commencement of Dissolution received from BC Registries
  • Post time daily to maintain accurate time dockets

Requirements

  • 7+ years’ experience in the Corporate Records practice area preparing annual compliance packages
  • Experience providing technical guidance, knowledge sharing, and onboarding support to team members
  • Paralegal diploma is an asset
  • Knowledge of the Business Corporations Act (British Columbia) and Canada Business Corporations Act
  • Strong organizational and prioritization skills; ability to manage competing deadlines
  • Excellent grammar, proofreading, and meticulous attention to detail
  • Professional and courteous communication with clients and internal teams
  • Reliability, confidentiality, and commitment to service excellence
  • Ability to collaborate, adapt to changing priorities, and exercise sound judgment under pressure
  • Advanced proficiency in Microsoft Office Suite
  • Ability to format complex legal documents and manage data
