Senior Payroll Specialist managing payroll complexities for Canadian and U.S. employees. Ensuring compliance and timely delivery of payroll services under the guidance of the payroll director.
Responsibilities
Reporting to the Senior Director, Payroll & HR Shared Services, the Senior Payroll Specialist's main mandate is to perform tasks related to the payroll of employees from different entities that involve more complex aspects and to ensure that everything is delivered on time.
Validate entries made by Payroll Coordinators to ensure completeness and compliance.
Ensure payroll procedures, policies, and conventional standards comply with Domtar rules and current government, state, legislative, and tax regulations.
Act as an expert for all payroll-related inquiries.
Support the payroll team, ensure efficient delivery of payroll services, on time and in accordance with requirements.
Perform double validation of activities related to Canadian and U.S. payroll production within the required deadlines.
Verify executive payroll production to ensure accurate payments and timely notifications.
Reconcile and prepare payments to various suppliers, such as government remittances and remittances to relevant institutions and organizations.
Prepare various monthly reports and perform various accounting reconciliations.
Stay abreast of laws and regulations governing payroll and general ledger classification.
Respond to various requests from internal and external clients.
Assist various departments in applying and maintaining policies, standards, collective agreements, and management procedures.
Participate in year-end activities for Canadian and U.S. payrolls and ensure process compliance and adherence to deadlines.
Participate in the integration, testing, and implementation of improvements, interfaces, and updates to payroll and time systems.
Requirements
College diploma in administration, accounting, finance, or a related field
Certification as payroll administrator by the CPA or APA (a major asset)
At least five (5) years of experience in payroll (handling the Canadian and/or U.S. payroll process from start to finish, including year-end payroll production)
Experience with major payroll software and knowledge of the SAP system (an asset)
Expert knowledge of the Canadian and/or U.S. payroll field, and capacity to proactively investigate and resolve payroll issues
In-depth knowledge of payroll-related legislative rules
Proficiency with Microsoft Office, and advanced knowledge of Excel in particular
Fluency in English and French, both oral and written*
