About the role

  • Billing Compliance Analyst ensuring accurate matter setup, rates, and invoices. Supporting eBilling compliance and reporting for Canadian law firm McCarthy Tétrault.

Responsibilities

  • Open and configure new matters and clients and manage onboarding through go-live
  • Translate Outside Counsel Guidelines into billing rules and configurations
  • Set up and validate billing formats, including LEDES files
  • Resolve tax, rounding, validation, and other format-related invoice rejections
  • Configure phase and task codes, invoice formats, and billing flags
  • Maintain complete and current billing notes and documentation
  • Confirm correct client records and billing flags
  • Set up matter-level, timekeeper-specific, and client-specific rates across eBilling vendor platforms
  • Manage annual rate increases and maintain accurate client rate structures
  • Investigate, correct, and resubmit rejected rates
  • Reconcile portfolio invoices monthly and track submitted, pending, and rejected invoices
  • Resolve invoice rejections at their source and identify recurring rejection patterns
  • Partner with billing analysts and Collections on outstanding invoices and payment follow-up
  • Support client-required status reports and budgets in eBilling systems
  • Escalate high-risk and time-sensitive issues to management and billing lawyers
  • Liaise between lawyers, billing analysts, and Finance on billing, accounting, and eBilling inquiries
  • Lead, coordinate, or support eBilling process, reporting, and system-enhancement projects
  • Build and maintain dashboards and reports using Power BI, SQL, and Power Query
  • Share knowledge and recommend improvements to billing data workflows
  • Perform other related duties as assigned

Requirements

  • Minimum of 3 years of legal billing or eBilling experience in a law firm or professional services environment
  • Exposure to Outside Counsel Guidelines (OCG) compliance and electronic invoice processing
  • Familiarity with OCGs, LEDES formats, and eBilling compliance standards
  • Hands-on experience with eBilling platforms such as Legal Tracker, CounselLink, TyMetrix 360, or comparable systems
  • Advanced Excel skills, including complex formulas, pivot tables, lookups, and data transformation
  • Power BI and Power Apps experience
  • Strong analytical and critical thinking skills
  • High level of accuracy and attention to detail
  • Clear and effective written and verbal communication skills
  • Ability to exercise independent judgment, tact, and initiative with confidential matters
  • Interest in eBilling systems and technology, with willingness to learn new tools
  • Collaborative and reliable approach to teamwork
  • Strong time management and organizational skills
  • Ability to work under pressure and meet strict deadlines
  • Flexibility to work overtime during month-end, quarter-end, and year-end peak periods
