Vehicle Control Clerk managing vehicle inventories and towing logistics for Manitoba Public Insurance. Tracking vehicles, documenting condition, and coordinating storage, customer service, and dispatch operations.
Responsibilities
Maintain vehicle inventory at the Physical Damage Compound and MSA-approved storage facilities across Manitoba
Receive and inventory vehicle equipment and contents upon arrival at PDC
Itemize all vehicle contents and photograph vehicle condition upon entry
Enter and maintain accurate data in VISion
Monitor inventory duration and take action as required to reduce cycle time
Track incoming and outgoing vehicles, including after-hours, stolen, and recovered vehicles, using VISion
Monitor and support vehicle inventory across provincial storage locations
Complete CARS To Do List tasks and manage Outlook inbox items
Update vehicle and contents inventory in VISion using a Honeywell device
Take and upload up to five vehicle photographs to VISion
Receive keys from Service Centres and allocate them to the appropriate vehicles
Assist and coordinate vehicle returns to owners
Monitor Mitchell Requests for Vehicle Actions to support Estimating Operations
Perform customer service tasks, troubleshoot, make outbound calls, and answer general inquiries
Greet and assist in-person customers
Support external towing companies with questions and concerns
Handle phone and email inquiries from MPI staff, Security, external towers, and customers
Monitor RVAs and dispatch towing requests for MSA towers
Assist with dispatching tow trucks from PDC to repair facilities using VISion
Monitor outstanding tow requests and follow up with vendors
Respond to vendor inquiries about towing and storage invoices and payments
Provide general support for the Towing and Storage Master Service Agreement
Provide backup coverage to Towing Payment Clerks
Perform other duties as assigned
Requirements
High school diploma or equivalent
Two years of office experience, including one year in a Physical Damage Claims Operations environment
Ability to handle multiple tasks and prioritize assignments to meet deadlines
Ability to work independently and as part of a team
Working knowledge of Word, Excel, and Outlook
Working knowledge of CARS and VISion is an asset
Ability to operate a calculator and perform basic calculations
Accuracy and attention to detail
Valid driver’s licence
Physically able to work from ladders, lifts, or heights of three metres or more
Ability to work near or operate powered mobile equipment
Ability to operate power tools, equipment, or machinery
Willingness/ability to work outdoors
May be required to work alone
Ability to wear company uniform, safety shoes, hi-visibility clothing, and PPE/hazardous material suits
