About the role

  • Proposal Coordinator supporting PayByPhone’s parking-payment technology bid process. Coordinating bids, proposals, approvals, and sales-team materials from identification through submission.

Responsibilities

  • Support the company’s bid process from identification through submission and pre-award negotiations
  • Analyze bid requirements
  • Learn and use software tools such as MS Office, Salesforce, and Responsive
  • Write and edit documents for readability, consistency, appropriate tone, company capabilities, sector knowledge, management approach, and past performance
  • Help assemble bids demonstrating product benefits and responding accurately to bid requirements within stipulated time frames
  • Track bid responses and evaluations
  • Obtain approvals by reviewing proposals with key providers and project managers
  • Help develop processes, assets, and resources for successful bid submissions
  • Participate in bid/no-bid reviews with the Bid Manager and sales team
  • Conduct win/loss reviews
  • Assist the Bid Manager in updating the Responsive Answer Library
  • Work with Marketing to curate bespoke materials for bid responses
  • Manage Commercial Team Confluence content related to the bid process
  • Complete Commercial Team special projects assigned by the Managing Director, NA

Requirements

  • 1–3 years' experience in administrative/coordination activities
  • Experience in bid coordination-related activities is an asset
  • Post-secondary degree is an asset but not required
  • Experience working in a fast-paced, rapidly changing environment
  • Experience gathering information for reports
  • Ability to gather information accurately and quickly from multiple sources
  • Experience with daily high-volume outbound calling and emailing activities
  • Experience in a similar software development environment is highly regarded
  • Experience working in Responsive is an asset
  • Experience generating Salesforce reports is an asset
  • Proven ability to learn new software programs quickly
  • Intermediate proficiency in Excel and PowerPoint
  • Advanced Google research skills
  • Prior experience using Salesforce or other CRM
