About the role

  • Resourcing Manager coordinating medical communications production teams, workloads, freelancers, and vendors at Red Nucleus. Supporting project planning, budgets, timelines, and operational improvements for life sciences clients.

Responsibilities

  • Analyze project demands, resource availability, and constraints to develop resource allocation plans with team leads
  • Maintain a skills matrix across departments to assign appropriate resources to projects
  • Manage and monitor freelance staff across creative, scientific, production, and technical roles
  • Act as the primary contact with freelance agencies
  • Maintain freelance approval and onboarding processes
  • Monitor freelance budgets and report spend and allocation to senior leadership
  • Control workflow by monitoring production progress and adjusting resourcing
  • Lead regular resourcing meetings to review workloads, identify overages, and reallocate resources
  • Assign tasks, provide status updates, communicate roadblocks, and identify overflow resources
  • Monitor team utilization and collaborate with department leads to achieve targets
  • Lead process improvement initiatives with the PMO and Capability heads
  • Support the Client Engagement team with communications, planning, resourcing, timelines, budgets, and change management in the Agency Management System
  • Manage third-party vendor contracts and relationships
  • Generate reports and develop or update templates, SOPs, estimation tools, and other project resources
  • Perform other tasks delegated by the Director, Operations

Requirements

  • BA/BS required
  • 2–5 years of related industry experience
  • Strong communication, organization, and negotiation skills
  • Ability to bridge Project Management with production departments
  • Ability to assign and resource team members as a single point of contact for project leads
  • Growth mindset and ability to manage and drive change
  • Ability to adjust workload balance within an agency management system
  • Process improvement and documentation skills
  • Ability to understand project pipelines, sales data, workload balance, and hiring decisions
  • Understanding of skills required across varied production tactics and therapeutic areas
  • Diverse production background is an asset
  • Ability to develop trusted relationships
  • Ability to translate vague details into project scope, ballpark costs, estimates, and risk-mitigating assumptions
  • Strong prioritization and roadblock-removal skills
  • Superb communication skills
  • Ability to ensure the right tasks are assigned to the right people
