About the role

  • Executive Operations Lead supporting executives and automating workflows at TextLayer, an AI systems implementation company. Managing invoicing, onboarding, team culture, vendors, and distributed operations.

Responsibilities

  • Support the executive team with scheduling, inbox and calendar management, meeting preparation, and follow-through
  • Draft leadership communications
  • Manage invoicing end to end, including sending invoices, tracking payment status, and following up on overdue accounts
  • Handle account and tool provisioning for new hires and projects
  • Identify repetitive tasks and build or configure AI-assisted workflows, working with engineers where needed
  • Document processes for consistent business operations as the team grows
  • Plan and host team meetups, socials, and offsites, including travel and logistics coordination
  • Own staff recognition, gifts, milestones, welcome experiences, and celebrations
  • Help maintain connection across a distributed, project-based team
  • Gather team feedback and bring it to leadership
  • Support hiring operations and onboarding logistics
  • Assist leadership with operating cadence, meeting rhythms, planning cycles, and priority tracking
  • Manage vendors, tools, subscriptions, and light administrative and compliance tasks
  • Serve as a trusted, discreet partner to leadership on sensitive matters

Requirements

  • Experience as an executive assistant, chief of staff, operations manager, or office manager, ideally supporting senior leaders in a fast-moving company
  • Excellent written communication and sound judgment
  • Ability to draft in someone else's voice and know when to escalate
  • Strong ownership and follow-through
  • Genuine enthusiasm for AI tools and automation; experience with Zapier, Make, n8n, or LLMs, or willingness to learn quickly
  • Warmth and energy for bringing teams together
  • Discretion and professionalism with confidential information
  • Comfort with Google Workspace and modern SaaS tools
  • Willingness to travel for team events and company needs
  • Experience in a startup, consultancy, or professional services firm is a bonus
  • Experience coordinating events, offsites, or team programs is a bonus
  • Basic finance operations experience is a bonus
  • Light technical aptitude such as scripting, APIs, or no-code automation is a bonus
  • Experience supporting a remote or distributed team is a bonus
