Responsibilities
Operate the Office of the Associate Dean, Academic (Education Office) and its portfolio effectively and efficiently
Support academic programs at the Leslie Dan Faculty of Pharmacy, including program quality, program review, accreditation, and student conduct matters
Provide executive assistance to the Associate Dean, Academic
Plan and implement project phases
Execute assigned tasks according to production schedules and project plans
Research, analyze, and recommend solutions to project challenges
Track and collect information on project progress
Verify the accuracy of information in project documentation
Coordinate project and strategic initiative tasks with stakeholders
Maintain senior staff calendars
Maintain course information on student information systems
Requirements
Bachelor's Degree or acceptable combination of equivalent experience
Minimum five years of experience providing project coordination and/or administrative support in a university environment
Experience planning and coordinating Faculty- or Department-wide projects
Experience with accreditation and/or quality assurance reviews is an asset
Experience working effectively with internal and external stakeholders, including preceptors
Experience maintaining course information on student information systems
Experience with Concur or similar expense reimbursement platforms and submitting expense reimbursements
Experience preparing contracts using defined criteria and templates
Experience writing summary reports on programs and services
Experience implementing plans and process improvements for administrative workflows
Experience maintaining senior staff calendars
Advanced proficiency with Microsoft 365 Office Suite, particularly Excel, Word, Planner, PowerPoint, Outlook, and SharePoint
Excellent verbal and written interpersonal and communication skills
Superb organizational, time management, problem-solving, and attention-to-detail skills
Ability to balance multiple priorities and projects with conflicting deadlines
Ability to work independently with initiative, discretion, and tact, and cooperatively in a team environment
Ability to maintain a high level of confidentiality
