About the role

  • Creative Operations Manager orchestrating resourcing and integrated delivery for GALE, a business agency. Managing creative capacity, staffing, production traffic, and client-facing project execution.

Responsibilities

  • Lead resourcing and delivery on a high-volume production account
  • Own and establish a formal creative resourcing process
  • Analyze creative requests and forecast resourcing needs against team capacity
  • Build and maintain resource allocation/staffing plans using Everest, Smartsheets, and Excel
  • Coordinate briefing, routing, reviews, and approvals through the creative process
  • Monitor workloads and rebalance assignments as priorities shift
  • Maintain real-time visibility into team availability, skillsets, and utilization
  • Lead weekly cross-functional resourcing meetings with creative leads, account leads, and project managers
  • Partner with the Director of Program Management and resourcing counterparts to identify capacity gaps and support headcount planning
  • Forecast and roadmap staffing needs weekly, quarterly, and annually
  • Support creative directors and client partners with real-time staffing questions
  • Establish and refine resourcing and traffic-management best practices
  • Manage project estimation, objectives, scope, and integrated approaches
  • Create and own integrated project plans
  • Manage daily scrums, status reporting, and project communications
  • Resolve project issues across large, cross-disciplinary teams
  • Set team goals, purpose, and direction
  • Foster collaborative global interoffice relationships
  • Update clients on project developments and manage communications, expectations, negotiations, and feedback

Requirements

  • 6+ years of experience in creative operations, resource/traffic management, or project management within a creative or digital agency environment
  • Experience building or managing creative resourcing/staffing processes on high-volume production accounts
  • Strong creative intuition and ability to staff according to team members’ strengths
  • Ability to triage ad hoc, real-time requests calmly
  • Experience bringing structure and process to fluid, fast-paced environments with tight timelines and competing priorities
  • Experience or strong working knowledge of managing digital marketing campaigns and integrated project delivery
  • Experience leading or coordinating cross-disciplinary teams including creative, production, strategy, and media
  • Strong organizational, multitasking, and communication skills
  • Proficiency with project/resource management tools
  • Experience with Everest, Smartsheets, or similar platforms is a plus
  • Agile and digital execution experience is a bonus
  • Eagerness to learn new skills, platforms, and methodologies
  • Comfort leveraging AI tools and process enhancements
