Payroll Systems Compliance Specialist ensuring payroll accuracy and compliance across Canadian and U.S. payroll for NFI, a global bus manufacturer.
Responsibilities
Serve as a payroll systems subject matter expert, supporting configuration, calculations, functionality, and system logic across a complex Canadian and U.S. payroll environment of approximately 9,000 employees.
Support payroll compliance with applicable federal, provincial, state, and local payroll tax laws, regulations, remittances, and reporting requirements.
Maintain an end-to-end understanding of payroll processes, including data input, earnings, deductions, entitlements, taxes, remittances, integrations, and reporting.
Monitor legislative and regulatory changes and coordinate required updates to payroll configurations, processes, documentation, and business rules.
Investigate and resolve payroll system issues in partnership with Payroll Operations, HRIS, Tax, and other stakeholders.
Plan, execute, and document payroll system testing for updates, patches, integrations, enhancements, and process changes.
Validate payroll data accuracy and integrity, including incoming and outgoing data integrations, while maintaining clear documentation of payroll configurations, processes, testing results, compliance procedures, and business rules.
Assess payroll workflows to identify inefficiencies, manual workarounds, compliance risks, and improvement opportunities, while supporting system enhancements, new modules, integrations, upgrades, and broader continuous improvement initiatives.
Support, guide, and train payroll team members on system functionality, compliance changes, and process improvements.
Provide backup payroll processing support for Canadian and U.S. payrolls during absences, peak periods, or business needs.
Requirements
3–5+ years of payroll experience, with post-secondary education in Payroll, Human Resources, Business, Accounting, or a related field; an equivalent combination of education, training, and hands-on payroll experience may also be considered.
Strong payroll knowledge, ideally across Canadian and U.S. payroll environments, with the technical ability to understand payroll calculations, system logic, business rules, compliance requirements, and opportunities for system or process improvement.
Ability to support payroll systems work, including system testing, configuration reviews, integrations, upgrades, issue investigation, data validation, process documentation, continuous improvement, risk identification, and sound system delivery.
Exposure to custom HRIS platforms such as Personality, payroll platforms such as ADP, or prior experience supporting payroll system implementations, upgrades, integrations, or business rule testing is considered a strong asset.
Strong communication, collaboration, and attention to detail, with the ability to partner effectively with HRIS, Tax, Finance, IT, and Payroll teams while explaining payroll and system concepts to both technical and non-technical stakeholders.
Payroll Compliance Professional / Practitioner certification, Payroll Leadership Professional certification, or progress toward a payroll designation is considered an asset.
Proficiency with the Microsoft Office Suite, including strong Excel skills for data review, validation, and reporting.
