About the role

  • Construction Project Coordinator supporting the Project Management team in a leading commercial real estate firm. Responsibilities include administrative support, invoice processing, and maintaining project records.

Responsibilities

  • Provide administrative and interpersonal support to the Project Management team.
  • Maintain excellent records, including processing invoices, coordinating meetings, and helping coordinate project proposals and information.
  • Proactively complete administrative duties seamlessly, navigating shifting priorities throughout the day.
  • Respond to general day-to-day inquiries from internal and external stakeholders and redirect specific issues to the appropriate team member for action and resolution.
  • Maintain project trackers, dashboards, cashflows, risk registers, and monthly reporting packages.
  • Coordinate documents and approvals (contracts, invoices, compliance, closeout) and ensure audit-ready records.
  • Support invoice reviews, reconciliation, and financial workflows in Yardi/CLM.
  • Liaise with PMs, Accounting, vendors, and Property teams to support accurate execution and closeout.

Requirements

  • A minimum of two years’ experience in an administrative role.
  • Sophisticated Microsoft Office skills (Outlook, Word, Excel, PowerPoint).
  • Sophisticated Yardi and Procure skills.
  • Excellent interpersonal skills.
  • Experience working within a real estate environment.
  • Experience working within a professional services environment.
