About the role

  • HR Operations Specialist managing onboarding, employee operations, and payroll for Tripstack’s Canada and Poland teams. Supporting compliance, office management, and employee experience.

Responsibilities

  • Lead the pre-onboarding and onboarding process for new hires
  • Support the offboarding process in collaboration with IT and HR leadership
  • Maintain accurate employee records in Dayforce and prepare weekly reports for HR Leadership
  • Support administration of employee benefits programs, including enrolments, changes, and terminations
  • Serve as first point of contact for general employee HR inquiries and escalate as needed
  • Support compliance with employment standards and labour legislation across Canada and Poland
  • Manage and execute payroll cycles for teams in Canada and Poland
  • Calculate payroll data, including hours, earnings, deductions, taxable benefits, and adjustments
  • Process payroll remittances and statutory obligations
  • Support Finance with payroll accounting, reconciliations, and reporting
  • Oversee year-end payroll activities, filings, reconciliations, and tax slips
  • Process terminations, Records of Employment, and final pay calculations
  • Respond to payroll inquiries from employees and stakeholders
  • Liaise with payroll vendors and government agencies
  • Prepare audit documentation and maintain accurate records
  • Contribute to payroll projects and process improvements
  • Monitor office inventory and supplies and coordinate weekly staff lunch orders
  • Plan and execute onsite and offsite social events

Requirements

  • Post-secondary education in Human Resources, Business Administration or equivalent experience in a related field
  • 3+ years of experience in HR and payroll administration, ideally within a multi-country environment
  • Solid understanding of payroll legislation, tax regulations, and compliance requirements
  • Experience with HRIS systems; familiarity and working knowledge of Dayforce is a strong asset
  • High attention to detail with strong accuracy and organizational skills
  • Discretion in handling sensitive and confidential information
  • Excellent written and verbal communication skills
  • Proficiency with Google Workspace, Microsoft Office Suite, especially Excel, and payroll/HRIS software
  • Ability to work collaboratively and independently and manage competing priorities
  • Payroll Compliance Practitioner (PCP) Designation in progress or completed considered an asset
