About the role

  • Project Coordinator for AI adoption in insurance, hybrid in Toronto. Manage user onboarding, documentation, and collaboration with tech teams using Power BI, M365, Jira, and Copilot.

Responsibilities

  • Keep user guide and reference documentation current as the product evolves. Track dashboard changes and reflect updates in user-facing documentation. Maintain a clear change log so users can identify new updates and features. Monitor dashboard changes and validate that documentation updates are completed accurately. Onboard new users to the AI adoption dashboard. Build, refresh, and maintain enablement materials, including quick-start guides, walkthroughs, and FAQs. Respond to first-line user questions and escalate complex issues to the Program Manager and technical team. Create and maintain a user distribution list for documentation distribution, events, and updates. Manage incoming questions, requests, and feedback across email, Microsoft Teams, and feedback channels. Triage requests by urgency and category, route them to the appropriate owner, and follow up with requesters. Identify recurring themes and friction points to support roadmap and enablement priorities. Create Jira stories based on trending user feedback. Maintain recurring operational processes, including cadence meetings, communications, and reporting cycles. Support the product owner with ad hoc AI adoption initiatives. Establish and improve meeting cadences and track action items within the first 30 days. Maintain a complete and refined product backlog with requirements for the next six months. Establish onboarding and enablement processes for new users. Ensure user guides and reference documentation remain current with released product changes. Maintain intake processes for questions and issue queues according to agreed service levels. Report recurring questions, issues, and feedback themes on a monthly basis.

Requirements

  • Bachelor’s degree in a technical or business-related field. 4 years of experience in complex project environments, operations, customer success, or enablement roles, ideally within technology or analytics teams. Previous project coordination experience. Exposure to AI, GenAI adoption, change management, or developer enablement programs. Familiarity with measurement, metrics, and analytics dashboards such as Power BI from an end-user or administrative perspective. Working proficiency with Microsoft 365, including Teams, Outlook, SharePoint, Excel, PowerPoint, and Copilot. AI knowledge and interest. Strong written communication skills with the ability to produce clear and accurate user-facing documentation. Proven ability to manage a multi-channel intake queue and maintain visibility on commitments. Excellent customer service skills. Ability to work effectively in a team environment. Highly organized, self-directed, and comfortable operating in ambiguity.
