About the role
- Operations Coordinator supporting CharterUP’s AI-powered group transportation platform. Auditing trips, coordinating providers, resolving disruptions, and monitoring active transportation services.
Responsibilities
- Audit upcoming trips for complete and accurate details before service
- Respond to phone calls and emails from transportation providers
- Source, negotiate, and secure last-minute transportation providers
- Coordinate scheduling conflicts, trip changes, cancellations, and service disruptions
- Escalate complex operational issues and ensure timely follow-up and resolution
- Partner with L&CS, Sales, and Operations teams to resolve customer and provider issues
- Monitor active trips and communicate delays, provider changes, and operational challenges
- Document provider communications, trip updates, and resolutions in internal systems
- Prepare weekly operational reports and update Regional Leads on provider performance and recurring issues
- Follow operational procedures and service-level expectations while identifying workflow improvements
Requirements
- 2+ years of customer service or logistics coordination experience
- Experience in transportation, hospitality, or similar industries is a plus
- Excellent verbal and written communication skills
- Strong problem-solving abilities and attention to detail
- Ability to remain calm and professional in fast-paced or high-pressure situations
- Strong organizational skills and ability to multitask effectively
- Customer-focused mindset with commitment to exceptional service
- Willingness to adapt to changing priorities and learn new systems or processes
- Flexible availability to work nights and weekends
