About the role

  • Operations Coordinator supporting CharterUP’s AI-powered group transportation platform. Auditing trips, coordinating providers, resolving disruptions, and monitoring active transportation services.

Responsibilities

  • Audit upcoming trips for complete and accurate details before service
  • Respond to phone calls and emails from transportation providers
  • Source, negotiate, and secure last-minute transportation providers
  • Coordinate scheduling conflicts, trip changes, cancellations, and service disruptions
  • Escalate complex operational issues and ensure timely follow-up and resolution
  • Partner with L&CS, Sales, and Operations teams to resolve customer and provider issues
  • Monitor active trips and communicate delays, provider changes, and operational challenges
  • Document provider communications, trip updates, and resolutions in internal systems
  • Prepare weekly operational reports and update Regional Leads on provider performance and recurring issues
  • Follow operational procedures and service-level expectations while identifying workflow improvements

Requirements

  • 2+ years of customer service or logistics coordination experience
  • Experience in transportation, hospitality, or similar industries is a plus
  • Excellent verbal and written communication skills
  • Strong problem-solving abilities and attention to detail
  • Ability to remain calm and professional in fast-paced or high-pressure situations
  • Strong organizational skills and ability to multitask effectively
  • Customer-focused mindset with commitment to exceptional service
  • Willingness to adapt to changing priorities and learn new systems or processes
  • Flexible availability to work nights and weekends
  • U.S.-based candidates must reside in one of the approved hiring states
