Admin & Finance Coordinator managing receivables, credit-card reconciliation, deposits, and mail services. Supporting Food Banks Canada’s national network of over 5,500 food-related organizations.
Responsibilities
Provide professional accounting support to Food Banks Canada
Manage accounts receivable functions
Reconcile corporate credit cards and obtain monthly approval from the VP of Finance
Endorse cheques and make weekly bank deposits
Scan, organize, print, and file deposit documentation in SharePoint
Prepare and distribute weekly batches to the Development Team
Input approved revenue data into Business Central and cross-check it with Donor CRM
Download daily bank feeds and report suspicious corporate credit card transactions
Collect supporting documents for corporate card expenses, match them to purchase orders or authorizations, verify extensions, assign GL codes, and enter information into the accounting system
Apply HST/GST rebates and calculate applicable amounts
Maintain electronic filing systems and CRA-required supporting documents for at least 7 years
Ensure internal controls are followed and report deficiencies to the Finance Manager
Coordinate weekly mail collection with the lockbox service provider
Safeguard, scan, organize, and redirect mail appropriately
Assist with annual and special audits
Perform other duties as assigned
Requirements
Completion of a post-secondary college diploma program or equivalent in accounting
Minimum 2 years’ relevant experience in an accounting position for a business or NPO organization
Exceptional attention to detail and accuracy
Excellent organizational, time management and planning skills
Self-starter with the ability to multi-task and prioritize workload
Strong verbal and written communication skills
Clear, professional communicator
Ability to work independently and collaboratively as part of a team
Understanding of confidentiality and ability to maintain confidentiality when handling sensitive information
Proficiency in Microsoft Office applications, including Excel
Working knowledge of Business Central and Mission CRM is an asset
Strong proofreading skills
Bilingualism (English/French) is an asset
Must be located within 100/km of Greater Toronto Area, ON
