About the role

  • Payroll and Benefits Coordinator managing payroll and benefits for Zelus Material Handling. Responsible for full-cycle payroll, benefit administration, and compliance reporting.

Responsibilities

  • Payroll Administration
  • Process full-cycle, bi-weekly payroll for hourly and salaried employees (100+ employees)
  • Administer payroll for employees covered under Ironworkers/EPSCA requirements, ensuring compliance with applicable collective agreement provisions and timely remittance of union dues
  • Review and validate timesheets, pay rates, and system data to ensure accuracy
  • Process payroll adjustments including bonuses, commissions, allowances, and vacation entitlements
  • Prepare and submit payroll remittances and statutory deductions (CRA, EHT, WSIB)
  • Ensure compliance with all applicable payroll legislation and internal policies
  • Prepare and issue Records of Employment (ROEs)
  • Benefits & Group RRSP Administration
  • Administer employee benefits and pension programs, including enrollments, changes, leaves of absence, and terminations
  • Reconcile benefit premiums and company contributions
  • Act as a point of contact for employee inquiries related to payroll and benefits
  • Reporting & Compliance
  • Complete month-end and year-end payroll reporting (T4s, T2200s, PIER)
  • Reconcile payroll accounts including WSIB, EHT, and deductions
  • Support audits and internal reporting requirements
  • Support compensation processes including merit increases and incentive payouts
  • Systems & Process Support
  • Maintain accurate employee data within HRIS (BambooHR) and QuickBooks
  • Identify and implement opportunities to improve payroll and benefits processes
  • Collaborate closely with Finance on reporting and reconciliations
  • Safety Specific: Ensure compliance with all Occupational Health and Safety Act (OHSA) regulations and company safety policies and procedures
  • Maintain a clean and organized work environment, free of potential hazards
  • Practice proper ergonomics to prevent strain injuries
  • Adhere to office safety procedures, including emergency evacuation routes, fire drills, and building safety protocols
  • Report all incidents, accidents, and near misses immediately
  • Actively look for and report potential hazards in the workplace
  • Other duties as assigned

Requirements

  • Post-secondary education in Business, Finance, or Accounting
  • 3–5 years of experience in payroll and benefits administration
  • Experience processing union payroll (Ironworkers/EPSCA strongly preferred)
  • Strong understanding of collective agreements and union remittance requirements
  • Payroll Compliance Practitioner (PCP) designation preferred
  • Experience with HRIS systems (BambooHR preferred)
  • Strong knowledge of payroll legislation and best practices
  • Intermediate to advanced Excel skills (e.g., VLOOKUP, pivot tables)
  • Experience with payroll/accounting systems (e.g., QuickBooks or similar)
  • High level of accuracy and attention to detail
  • Strong organizational and time management skills
  • Ability to manage confidential information with discretion
  • Strong communication and problem-solving skills
  • Ability to work independently in a fast-paced environment
